Configure renewal when a membership or annual pass should keep its existing ticket number and gain another term when the holder renews.

Before you start

  • The membership product must create an attendance and use an activating production type.
  • Choose a published, active renewal product with a price in your tenant currency. It must not require sub-product choices or contain bundled sub-products. A separate renewal product lets you set the renewal price independently of the first purchase.
  • Renewals are sold through the admission or event template that sells the membership, so customers see its name, information and emails. Add a price category for the renewal product to that admission or event template, for example Renewal, and make it available at your online shop's point of sale. Without it, renewal is unavailable; the membership type shows a setup warning.
  • The renewal term comes from the renewal product's ticket definition, the same way validity is set when a membership is first sold. There is no separate term setting. Give the renewal product a ticket definition with a validity, for example 12 months after activation or a fixed season. Usually this is the same ticket definition as the membership product.

Configure renewal for each level

  1. Open Memberships > Membership types and select the membership type. The workspace must be enabled for your tenant, and you need permission to configure memberships.
  2. Select the Renewal product for each level. Only this explicit link enables renewal; a product's name or duration does not.
  3. Select Update. Check that the page names the admission or event template that sells renewals. Under Renewal term, check the term shown from the renewal product's ticket definition.
  • If a warning says the ticket definition defines no validity, assign one to the renewal product. Renewal stays unavailable until then.
  • If a note says the renewal product uses a different ticket definition, renewed terms follow the renewal product's definition, including its entries and gates. Check that this is intended.
  1. Set Membership verification in the online shop. Ticket-number possession accepts the number as proof. Email verification also requires a one-time code sent to the holder's saved email address, falling back to the original order contact's address. Disabled verification prevents accountless access, so members cannot renew; the renewal section warns you until a method is chosen.
  2. Select Update. Check that the page names the admission or event template that sells renewals.

Clear Renewal product and select Update to turn renewal off. Renewal stays unavailable while verification is disabled. A membership can have renewal without a customer-group benefit.

Explain validity and price to holders

  • The existing ticket number stays the membership number. Someone else paying for a renewal does not become the owner or beneficiary.
  • An active membership continues right after its current term ends. For example, a membership valid until 31 October 23:59 that renews with "12 months after activation" is then valid until 31 October 23:59 the following year.
  • An expired membership restarts when the renewal is paid. The preview uses the current time; the final dates must be refreshed and confirmed before payment.
  • Dates follow the ticket definition in your tenant's time zone, exactly as on the first purchase.
  • The quote shows price, currency and proposed validity. It expires after ten minutes or when verification expires, whichever comes first. A changed price, ticket definition or membership validity requires a refreshed quote and confirmation; a preview never guarantees an old price.
  • Verifying an expired membership only lets the holder inspect it and request its renewal quote. It does not restore discounts or entry. No account is required for ticket-number or email-code verification.

Payment and entry readiness

  • A successful renewal keeps the holder and ticket number and adds the new term to the ticket. Earlier terms and their entries stay unchanged, so entries such as "10 VIP entries" count separately for each term.
  • An early renewal starts right after the current term. A renewal after expiry starts when the payment succeeds and restores eligible benefits for the new term. Existing permanent customer-group assignments stay in place.
  • A payment can finish after the verification session expires. Do not purchase a second renewal to resolve a delayed confirmation.
  • For KORONA Entry memberships, the new term admits at the gate once synchronization is confirmed. If confirmation stays pending, contact support with the renewal order number.
  • A refund retires an unused renewed term. A later renewal, usage of the renewed term, a partial refund or remote KORONA Entry usage needs staff review. Do not change membership dates or sell a replacement ticket to resolve a payment or synchronization problem.

After reviewing a refunded term with recorded entry usage, authorized staff can approve retirement of its remaining access with an audit reason. The refund and usage history are retained.

When renewal is unavailable

Blocked, cancelled, revoked or exhausted credentials cannot be verified for renewal. The following cannot receive a quote:

  • an indefinite membership, or one that has not started
  • a ticket with sub-product entries
  • a renewal product that is unavailable or has no validity
  • a membership whose admission or event template has no price category for the renewal product

Check the product configuration and the membership's status; do not sell an unrelated replacement to work around an unavailable quote.

A missing or expired verification should be repeated using the original ticket number. An unavailable email address must be corrected through your normal authorized contact-management process. Verification is limited to the selected membership and the current order session; it does not expose other tickets or the holder's contact details.

Make renewal available in the shop

Shop renewal requires the Memberships add-on. Ask your implementation team to enable paid renewal after checking your payment and entry setup. In the page editor, add the Membership/pass block to the shop page or product detail template where holders should start. The block includes Check or renew your pass. You can also link directly to /en/passes or /de/passes on your own shop domain.

The lookup works with an empty cart. It creates a separate renewal checkout and keeps other shopping separate. One membership can be renewed per transaction; family renewal and recurring billing are not included.

Guide a holder through renewal

  1. Open Check or renew your pass.
  2. Enter the existing membership number in Membership/pass number and choose Apply. If prompted, enter the email verification code. An account is optional.
  3. Check the name, number, status and current validity. Choose Show renewal offer for an eligible membership.
  4. Review the price and additional validity. For an expired membership the dates are a preview: its new term starts when payment is received.
  5. Confirm the price and validity shown, then choose Continue to payment. Complete the normal checkout details and payment.
  6. Keep the existing card or ticket. The result shows the same number and the new validity. Payment received can appear before the entry update is confirmed; choose Refresh status before visiting if synchronization is still pending.

If payment fails, continue the same checkout. Do not start another payment while the first is pending. Before checkout, replace an expired offer by choosing Show renewal offer again, and repeat verification when requested. If checkout has already started and the offer is no longer available, contact the operator. An entry synchronization problem also needs the operator's help; paying again does not resolve it.

Return to my shopping cart continues other shopping. It does not cancel a renewal payment in progress.
